We are the controller for inquiry forms, engagement records, and this website. During a review we act as a processor of the extracts you send, under the engagement letter, except for the business-card details of your counterpart, which we hold as controller.
What we collect
From the contact form: name, email, the work you selected, optional app count, optional preferred date, and your message. From email and phone: whatever you choose to send. From an engagement: counterpart names, roles, billing details, and the document pack. From the site: the pages requested, a truncated address, browser type, and your cookie choice (accepted or rejected), as described in the cookie notice.
We do not want production identity files, payment-card numbers, or special-category data in a pack. If they arrive, we will stop the reading and ask for a stripped pack.
Why we hold it
To answer inquiries, quote, perform the engagement, invoice, keep records required by Malaysian tax law, improve the clarity of this site (only if you accept analytics cookies), and defend a legal claim. The PDPA bases we rely on are the performance of a contract, our legitimate business interests in running a practice, and consent where you accept analytics cookies.
Retention
Unsuccessful inquiries: twelve months, then deletion of the message, keeping a one-line log that an inquiry arrived. Engagement files, briefs, and invoices: seven years after the last invoice, in line with ordinary commercial and tax practice in Malaysia. Cookie choice: until you clear storage or we change the storage key and ask again. Server logs: thirty days unless a security investigation needs longer.
Who we share with
Accountants and, if needed, lawyers bound to confidence. Hosting and email providers who process on our instructions. We do not sell contact lists. We do not use your ranking as advertising without a written case-study consent.
International transfers
The office and primary files sit in Malaysia. Email or hosting subprocessors may store a copy outside Malaysia. Where that happens we use a contract that requires comparable protection, and we will say so if you ask. You should not send extracts that cannot leave Malaysia unless the engagement letter names a Malaysia-only handling path.
Your rights
Subject to the PDPA, you may ask to access, correct, or limit the processing of your personal data, and to withdraw consent for analytics cookies. Write to info@systemvertexcore.digital with enough detail for us to find you. We may need to confirm identity. You may also complain to the Personal Data Protection Commissioner in Malaysia.
Children
This site and our work are for organisations. We do not knowingly collect data from children.
Changes
We will date updates at the top of this page. Continued use of the site after a change means you have seen the new notice.
