Eligibility
Refunds are available only for fees you have actually paid to System Vertex Core under an engagement letter. Quotes, unpaid invoices, and form inquiries are not refundable because nothing has been taken. SST charged and remitted is handled as the tax rules require and may not come back in full even when a fee is returned.
Deposits
A review or dashboard commission holds the calendar with a 40% deposit. The remainder is due before the findings session or before handover of a wall. Workshops are payable in full when the date is locked. Quarterly briefings are payable at the start of the quarter.
Cancellation by you
Written cancellation more than ten working days before the agreed start of a review or commission: deposit returned in full, minus any non-refundable travel already bought at your request.
Five to ten working days: half the deposit is returned. The other half covers the calendar we kept.
Fewer than five working days, or after the pack has been opened: the deposit is not returned. Work already started — a reading in progress, paper drafts, a wall in build — is billed for time spent, capped at the remaining fee. Unused remainder of the balance, if you had prepaid, is returned.
Workshops
Cancel more than ten working days before the day: full refund. Five to ten days: half. Inside five days, or a no-show of the booked headcount: no refund. Reducing headcount inside five days does not reduce the fee below the eight-person Seremban rate if we have already printed workbooks.
Quarterly briefings
A briefing can be moved once inside the same quarter if you give ten working days’ notice. A second miss in that quarter closes the quarter; the retained fee is not returned. Ending the three-quarter minimum early does not refund past quarters; a quarter not yet opened can be dropped with ten working days’ notice before it starts.
Rescheduling
Findings sessions and workshops may be moved once, subject to our calendar, if you write at least ten working days ahead. Later moves are treated as cancellation of the original date under the tables above, and a new date is quoted.
No-shows
If the counterpart or the agreed reading group does not attend a booked findings session or workshop, the session is treated as delivered. We will send the then-current draft. A second session is a new booking.
Incomplete packs and work already started
If the pack never arrives, we wait thirty days from the agreed start, then close the engagement and return any prepaid balance above the deposit, keeping the deposit for the held calendar. If the pack arrives stripped of so much that a ranking would be fiction, we stop and consult; time already spent is billable. We do not refund because you dislike a rank. We will correct a factual error in the extracts at no charge if you write within ten days of the brief.
Materials
Printed workbooks, bound briefs, and paper drafts are part of the fee. They are not sold separately and are not ‘returned’ for money. If a print run is unused because you cancelled inside five days, those copies are not credited.
How a refund is paid
Write to info@systemvertexcore.digital with the engagement reference, the date, and the reason. We confirm eligibility within ten working days. Approved refunds go back by the same method you paid, usually a bank transfer in ringgit, within twenty working days after confirmation. We do not refund in cash at the office.
If we cancel
If we cannot staff a booked date and you do not accept a new date, you receive a full refund of sums paid for that unsent work, including the deposit. That is the limit of the remedy, alongside any non-excludable rights under Malaysian law.
